1. Introduction

Welcome to Exclusive Africa Experiences. These Terms and Conditions govern your use of our website and the booking of travel services through our company. By accessing our website or making a booking, you agree to be bound by these terms.

2. Booking & Confirmation

All bookings are subject to availability and confirmation. A booking is confirmed once we have received the required deposit and issued a written confirmation. Deposits are non-refundable unless otherwise stated in writing.

3. Pricing & Payment

All prices are quoted in South African Rand (ZAR) unless otherwise specified. Full payment is required no later than 60 days prior to departure. For bookings made within 60 days of departure, full payment is required at the time of booking. We reserve the right to adjust prices in the event of currency fluctuations, increases in transportation costs, or changes in government-imposed taxes or fees.

4. Cancellation Policy

Cancellations must be made in writing. The following cancellation fees apply:

  • More than 90 days before departure: deposit forfeited
  • 60–90 days before departure: 50% of total cost
  • 30–60 days before departure: 75% of total cost
  • Less than 30 days before departure: 100% of total cost

We strongly recommend purchasing comprehensive travel insurance to cover cancellation costs.

5. Travel Insurance

It is a condition of booking that all travellers hold comprehensive travel insurance covering medical expenses, evacuation, cancellation, baggage loss, and personal liability for the duration of the trip. Proof of insurance may be requested prior to departure.

6. Passports, Visas & Health

It is the traveller's responsibility to ensure they hold valid passports, visas, and any required health certificates (including vaccinations) for their chosen destination. Exclusive Africa Experiences accepts no liability for travellers denied entry due to insufficient documentation.

7. Liability

Exclusive Africa Experiences acts as an intermediary between travellers and third-party service providers (airlines, hotels, lodges, tour operators, etc.). We are not liable for any injury, loss, damage, delay, or inconvenience caused by the acts or omissions of these third parties, nor for events beyond our control including but not limited to natural disasters, political unrest, pandemics, or adverse weather conditions.

8. Changes & Amendments

We reserve the right to make changes to itineraries, accommodation, or services where circumstances require. In such cases, we will endeavour to provide alternatives of comparable quality. If a significant change is necessary, you will be offered the option to accept the change, choose an alternative trip, or receive a refund of monies paid (less any non-recoverable costs).

9. Complaints

Any complaints should be raised with the relevant service provider at the time of the issue. If the matter is not resolved, please contact us in writing within 28 days of your return. We will investigate and respond as promptly as possible.

10. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of the Republic of South Africa. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of the Western Cape, South Africa.
